Patient Care Coordinator

Working Hours: 8:30 a.m. to 4:30 p.m.
Job Summary:
The Patient Care Coordinator is responsible for establishing and maintaining profitable relationships with customers on behalf of the company by taking personal and complete responsibility for each customer contact and ensuring that all customer requirements are completely met. As the Patient Care Coordinator, you are the primary internal representative of our organization, conveying expertise in our services and capabilities, and serving as a key educator to our community and customers. The sales and strategic marketing activities of our team will be designed to achieve revenue goals and contribute to the overall success of the company.
Responsibilities and Duties:
General and Administrative:
Communicate effectively with the Provider to meet sales and customer objectives.
Ensure confidentiality and compliance with company and customer information policies.
Follow systems and procedures outlined in company guidelines.
Coordinate with team members to manage schedules and meet deadline changes.
Notify the Manager in advance of any absence or inability to be at work on time.
Maintain a clean and neat appearance.
Foster harmonious relationships within the organization.
Demonstrate punctuality and reliability in attendance and work habits.
Participate as a key team player by supporting operations as needed.
Communicate with others within the company.
Attend meetings as directed by the Manager.
Participate in in-store training as directed.
Maintain a safe work area and adhere to safe working habits.
Report any fraud, waste, or abuse of company property.
Provide exceptional customer service and address customer complaints and concerns promptly.
Assigned Duties:
Acknowledge and greet every customer and direct them to appropriate areas.
Update, create, and modify appointments.
Update customer information as needed.
Handle copy machines.
Prepare and process purchase orders from customer information.
Assist with customer files and phone orders.
Ensure quality and accuracy of patient files and completed purchase orders.
Interpret instructions and make decisions as required.
Assist in assuring quality, accuracy, and timeliness of all orders.
Answer phones.
Maintain fax system and perform maintenance.
Maintain daily transaction reports.
File completed patient files.
Maintain customer files and necessary paperwork.
Create invoices for patients.
Assist Operations Manager in completing daily reports as required.
Follow assigned, correct, and safe procedures when opening and closing.
Maintain cleanliness of the front counter area and assigned areas.
Empty trash and prepare it for pickup.
Assist with any other assigned duties.
Equipment and Supplies:
Stock and maintain paper in all machines and display shelves.
Assist in preparing testing/fitting area for the next day.
Keep an inventory of batteries, hear clears, and other supplies.
Assist in assuring accuracy and completeness of all inventories.
Qualifications:
High school diploma or GED equivalent.
Sales or customer service experience preferred.
Excellent command of the English language in both written and oral forms.
Good mathematical skills.
Excellent interpersonal skills.
Ability to identify and meet customers’ needs and requirements.
Strong attention to detail and problem-solving skills.
Computer literate and proficient in new technology.
Hardworking, self-starter, and proactive.
Excellent organization and time management skills.
Exceptional phone and customer service skills.
Positive and upbeat attitude.
Ability to move freely throughout the building and lift up to 20 lbs.
