We are seeking a detail-oriented and dependable Quality Administrative Specialist for our client in Fayetteville, Arkansas. This role is ideal for someone who thrives in an organized, fast-paced office environment and enjoys working closely with both customers and internal teams. The Quality Administrative Specialist will play a key role in supporting daily administrative and quality assurance operations, ensuring accurate documentation, efficient processing of materials, and strong communication throughout the return and credit process. This position requires someone who is comfortable handling data entry, maintaining records, and multitasking between customer service and administrative responsibilities. The Quality Administrative Specialist will also contribute to critical QA tracking functions, including document management and equipment calibration coordination, helping ensure overall operational accuracy and compliance.

Key Responsibilities

  • Process daily Return Material Authorization (RMA) requests for printed film credits
  • Communicate directly with customers and customer service teams regarding returns, credits, and product issues
  • Maintain accurate records of credited materials and related documentation
  • Track and log chargebacks associated with defective printed film
  • Scan and digitally file completed job travelers into the company system
  • Prepare Certificates of Analysis (COAs) for customers requiring product verification
  • Ensure COAs are completed accurately and submitted in a timely manner
  • Maintain QA lab calibration schedules and monitor required service intervals
  • Coordinate with vendors and suppliers to schedule equipment recalibrations
  • Support general administrative, filing, and QA documentation tasks as needed

Qualifications

  • Previous experience in data entry, office administration, or customer service preferred
  • Strong proficiency in Microsoft Word and Excel
  • Excellent organizational and time management skills
  • High attention to detail and accuracy in documentation
  • Strong written and verbal communication skills
  • Ability to manage multiple tasks and daily deadlines
  • Comfortable working with customers and internal teams
  • Ability to work independently with minimal supervision
  • Reliable, punctual, and consistent work history preferred
