We are seeking a dependable and detail-oriented Administrative Assistant for a 2nd shift opportunity with our client in Lowell, AR. This Administrative Assistant role is ideal for someone who thrives in a fast-paced environment and enjoys supporting both operational and project management teams. The Administrative Assistant will play a key role in coordinating travel, managing expenses, and ensuring smooth day-to-day administrative functions.

This position requires a self-motivated individual who can work independently, prioritize tasks, and adapt quickly to changing needs. The Administrative Assistant will be working closely with technicians, management, and project teams to provide critical support that keeps operations running efficiently. Candidates who are organized, proactive, and comfortable working with multiple systems will be successful in this role.

The schedule for this Administrative Assistant position is 2nd shift, working Saturday through Wednesday from 1:00 PM to 9:00 PM. Training will take place during the first two weeks on a day shift schedule (Monday through Friday, 9:00 AM to 6:00 PM). Candidates must also be available to participate in an on-call rotation every four weeks.

 

Key Responsibilities

  • Coordinate travel arrangements including booking flights, hotels, and transportation for employees and management
  • Confirm travel reservations and distribute itineraries to travelers
  • Monitor and manage email communications, responding to inquiries and completing assigned tasks
  • Support field technicians by verifying hours worked and ensuring per diem is processed accurately
  • Assist with adding labor hours and per diem when needed
  • Provide administrative support to Project Management, including contacting job sites and confirming permit requirements
  • Create and submit expense reports for both field technicians and management
  • Assist with monthly billing processes by allocating expenses to appropriate job numbers and categories
  • Support fleet operations by managing tolls and handling violation billing
  • Monitor and respond to administrative phone line inquiries
  • Assist field technicians with material purchases and related documentation

Qualifications

  • Strong organizational skills and ability to multitask in a fast-paced environment
  • Ability to work independently and problem-solve effectively
  • Proficiency with smartphones, computers, and Microsoft Office programs including Outlook, Excel, and Word
  • Experience with systems such as CLC, SAP Concur, Best Pass, or WEX is preferred but not required
  • Excellent communication skills and attention to detail
  • Reliable attendance and flexibility to work assigned schedule and on-call rotation
