Job Details

We are seeking a dependable and motivated Front Office Coordinator to join our client’s team in a fast-paced, customer-focused environment. This Front Office Coordinator role is ideal for someone who thrives in a busy office setting and enjoys balancing customer service with administrative responsibilities. As a Front Office Coordinator, you will serve as the first point of contact for visitors while also supporting critical internal operations that keep the business running smoothly.

The Front Office Coordinator will handle a variety of front office duties, including answering incoming phone calls, greeting guests, and assisting customers in person. In addition to customer-facing responsibilities, this position plays a key support role by training as a backup for essential tasks within the Planning Department and assisting the Project Manager when needed. This ensures continuity of operations when primary team members are unavailable or assigned to other projects.

This is a high-energy position that requires strong organizational skills, attention to detail, and the ability to work independently after training. The ideal candidate will have a strong work ethic and be comfortable managing multiple priorities in a busy office environment.

 

Key Responsibilities

  • Answer and direct incoming phone calls in a professional manner
  • Greet and assist visitors, providing excellent customer service
  • Enter new orders into the company system accurately and efficiently
  • Monitor order flow and ensure processes are running smoothly
  • Provide backup support for Planning Department functions
  • Assist the Project Manager with administrative and operational tasks
  • Maintain organized records and documentation
  • Communicate effectively with internal teams to support workflow

Qualifications

  • Previous customer service or office experience preferred
  • Strong communication and interpersonal skills
  • Ability to work independently with minimal supervision after training
  • Excellent attention to detail and organizational skills
  • Comfortable working in a fast-paced, high-volume environment
  • Basic computer proficiency and data entry experience required
  • Associate’s degree preferred, but not required for the right candidate
