Our staffing agency is seeking an organized, dependable, and detail-oriented Operations and Human Resources Coordinator on behalf of our client, a nonprofit organization serving Northwest Arkansas. This part-time opportunity is ideal for an experienced administrative professional who is comfortable managing multiple responsibilities and supporting essential day-to-day operations in a small, collaborative nonprofit environment.

The Operations and Human Resources Coordinator will provide support across several key areas, including human resources administration, payroll coordination, bookkeeping, financial administration, program administration, and general organizational operations. The successful candidate will be highly organized, trustworthy, and comfortable working independently while collaborating with leadership, staff members, external accounting professionals, and other partners.

Key Responsibilities

Human Resources & Payroll

  • Manage HR administration for a small staff, including employee onboarding, personnel records, and required documentation.
  • Coordinate payroll processing and help ensure accurate employee compensation and payroll records.
  • Track employee time, leave balances, and other employment-related documentation.
  • Assist leadership with HR policies, benefits coordination, and employee support.
  • Maintain confidentiality when handling employee and organizational information.
  • Help ensure internal HR processes remain organized and compliant with applicable policies and requirements.

Financial Administration & Bookkeeping

  • Maintain accurate and organized financial records using bookkeeping or accounting software.
  • Perform monthly account reconciliations and maintain supporting financial documentation.
  • Coordinate with the organization’s external CPA firm regarding financial reporting, audits, and compliance requirements.
  • Assist with tracking donor payments through donor management software.
  • Assist with budget tracking and preparation of financial reports for organizational leadership.
  • Help identify and resolve discrepancies in financial records or documentation.

Program Administration

  • Manage and administer a key organizational program requiring a high degree of accuracy and attention to detail.
  • Maintain accurate program records and documentation.
  • Track program participation and ensure data integrity.
  • Assist with reporting requirements and maintain documentation necessary for program compliance.
  • Coordinate with internal staff and external partners as needed to support program administration.

General Operations

  • Support the organization’s day-to-day administrative and operational needs.
  • Maintain organized internal systems, files, records, and documentation.
  • Assist leadership with administrative projects and operational improvements.
  • Help develop and maintain efficient processes for recurring administrative responsibilities.
  • Communicate effectively with staff, leadership, external accountants, and other organizational partners.
  • Take initiative in identifying opportunities to improve administrative processes and organizational efficiency.

Qualifications

  • Experience in HR administration, payroll, bookkeeping, nonprofit operations, or a related administrative role.
  • Strong organizational skills and exceptional attention to detail.
  • Demonstrated initiative, sound judgment, and problem-solving abilities.
  • Experience with accounting or bookkeeping software such as QuickBooks or similar platforms preferred.
  • Ability to handle confidential employee, financial, donor, and organizational information with discretion.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple responsibilities and meet deadlines.
  • Comfortable working independently while contributing to a small, collaborative team.
  • Strong computer and administrative skills.

Preferred Experience

  • Previous experience working in a nonprofit organization.
  • Familiarity with grant reporting or program administration.
  • Experience coordinating with external accountants, CPAs, or auditors.
  • Experience with payroll processing and employee record management.
  • Familiarity with donor management systems or nonprofit financial processes.
