Job Details

As a Receptionist in our client’s Springdale office, you will play a vital role in providing exceptional customer service and administrative support. Your primary responsibilities will include handling various clerical tasks, answering phones, preparing bids, coordinating with customers and other stores via email, and confirming shipment details with customers before delivery.

Key Responsibilities

Perform general clerical tasks such as filing, photocopying, scanning, and organizing documents.

Maintain accurate and organized records to ensure smooth office operations.

Phone Communication:

 

Answer incoming phone calls promptly and courteously, providing information and directing calls to the appropriate department or individual.

Offer professional and friendly assistance to callers, resolving inquiries or transferring calls when needed.

Bid Preparation and Sending:

 

Assist in the preparation of bids and quotations for potential customers.

Send out bids and follow up with customers to ensure receipt and address any questions or concerns.

Email Coordination:

 

Manage and respond to emails promptly, maintaining clear and professional communication with customers and other stakeholders.

Coordinate with other stores to ensure smooth order processing and timely deliveries.

Customer Coordination:

 

Proactively reach out to customers one day before delivery to confirm their readiness to receive shipments.

Address any last-minute changes or concerns to ensure a smooth delivery process.

Skills and Qualifications:

Qualifications

High school diploma or equivalent.
Previous experience as a receptionist or in an administrative role is preferred.
Proficient in using computers and office software applications (e.g., Microsoft Office Suite).
Strong written and verbal communication skills for effective email and phone communication.
Exceptional organizational skills to manage clerical tasks and maintain accurate records.
Ability to multitask and prioritize responsibilities in a fast-paced environment.
Customer-focused attitude with a commitment to providing excellent service.
Physical Requirements:
The ability to sit or stand for extended periods during the workday.
Occasional lifting of light objects may be required.
