Job Details
We are currently seeking a skilled and organized Front Desk Administrative Assistant to join our team at our Bentonville, AR office. As the first point of contact for our company, you will play a crucial role in creating a positive and professional impression on clients, visitors, and team members. Your exceptional communication and multitasking skills will be essential in handling a variety of administrative tasks efficiently and effectively.
Key Responsibilities
- Reception Duties: Greet visitors, clients, and employees with a warm and friendly demeanor, and direct them to the appropriate personnel or department. Answer and manage incoming calls, forwarding calls as necessary, and taking accurate messages.
- Office Coordination: Maintain a well-organized and tidy front desk area. Coordinate and schedule meetings, conference rooms, and appointments. Assist with managing office supplies and placing orders when necessary.
- Administrative Support: Provide comprehensive administrative support to various departments as needed. This may include data entry, filing, scanning, copying, and handling incoming/outgoing mail and packages.
- Communication: Assist in handling incoming and outgoing email correspondence professionally and promptly. Act as a liaison between different departments to ensure effective communication.
- Customer Service: Deliver exceptional customer service to clients, visitors, and staff, addressing inquiries and resolving any issues promptly and courteously.
- Record Keeping: Maintain accurate and up-to-date records and databases. Assist in organizing and managing important documents and files.
- Special Projects: Collaborate with team members on special assignments or projects as assigned by management.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain strict confidentiality.
Qualifications
- High school diploma or equivalent; additional education or training in office administration is a plus.
- Proven experience as a receptionist, administrative assistant, or similar role is preferred.
- Excellent communication skills (verbal and written) with a professional and approachable demeanor.
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
- Proficiency in basic computer software such as MS Office (Word, Excel, Outlook) and the ability to learn new software quickly.
- Strong attention to detail and accuracy in completing tasks.
- Ability to work independently and collaboratively within a team environment.
- Multilingual abilities are a bonus but not required.
