Job Details

As a Travel Coordinator for our corporate office in Lowell, AR, you will be responsible for efficiently arranging business travel for both field and office employees. Your primary focus will be to identify the most cost-effective and optimal travel solutions, making necessary reservations for accommodations while ensuring a seamless travel experience.

Key Responsibilities

  • Monitor Shared Travel Request Queue: Efficiently manage and oversee the shared travel request queue, ensuring timely responses and actions.
  • Assist with Travel Arrangements: Provide comprehensive support to field technicians and office staff regarding hotel accommodations and various travel arrangements.
  • Research and Compare Options: Conduct in-depth research to compare available hotel and travel costs, meticulously identifying the best available options for each request.
  • Obtain Approval for Travel Expenses: Seek and obtain necessary approvals from management for travel requests and expenses surpassing established limits.
  • Prepare Itineraries and Distribute Schedules: Develop comprehensive travel itineraries and efficiently distribute travel arrangements and schedules to all relevant staff members.
  • Track Hotel Bookings: Maintain a daily/weekly tracking system for hotel rooms booked, categorized by job number.
  • Handle Queries and Tasks: Monitor the inbox for daily inquiries and tasks from both office and field employees, providing prompt and effective assistance.
  • Assist with Purchasing: Support field or office staff by facilitating material and supplies procurement.
  • Manage Per Diem Advances: Distribute per diem advances upon request and diligently track and facilitate weekly paybacks.
  • Monitor Company Credit Card Usage: Oversee and facilitate the use of company credit cards for travel-related purposes.
  • Expense Reimbursement Processing: Handle the process of reimbursing travel expenses efficiently and accurately.
  • Allocation of Monthly Bills: Appropriately allocate monthly bills to respective departments and job numbers.
  • Adapt to Other Duties: Undertake any other related duties as assigned to ensure smooth travel operations.

  • Proficiency in Microsoft Office Suite: Ability to effectively use Microsoft Office Suite.
  • Adaptability: Quick adaptability to changing priorities and deadlines.
  • On-call Availability: Ability to join the on-call rotation occurring once every 4 to 5 weeks.
